How to Reduce a PDF's Size for Email and Online Forms

Government portals, job sites and university forms often reject a PDF because it is "too large". A limit of 1 MB or 2 MB is common, while a phone scan can easily be 10 MB or more. This guide explains why that happens and how to get under the limit without ruining the document.
Why PDFs get big
- Pictures. A scanned page or a photo is a large image. Ten photographed pages can be bigger than a 300-page text book.
- High resolution. Phone cameras save millions of pixels. Reading a document needs far fewer.
- Embedded fonts and extras. Large design files can carry fonts, layers and thumbnails.
A PDF made from a word processor with only text is usually small already. The size problem is almost always pictures.
Choose the right method
- Remove what you do not need. Blank back pages, cover sheets and duplicates add weight. Use Remove PDF Pages first.
- Compress. Compress PDF offers three levels. Keep text is gentle and saves a little. Balanced and Smallest redraw each page as a compressed picture, which can reduce a scanned file by 80 percent or more.
- Split when one file must stay sharp. If the portal allows several uploads, cut the file into parts with Split PDF instead of lowering the quality.
Trade-offs to know
The strong compression levels turn text into part of a picture. The page still looks the same, but you can no longer select or search the words. That is fine for a form or an ID copy, but keep your original file if you also need searchable text.
Make smaller scans from the start
- Use a scanner look that turns the paper white and the writing dark. Scan to PDF has a Black and white option that makes very small files.
- Take the photo in even light, with the page flat and filling the frame, so no cropping or retakes are needed.
- Do not send photos at maximum resolution. Reading text needs about 150 dots per inch.
A quick plan for a 1 MB limit
- Delete unnecessary pages.
- Run Balanced compression and check the size shown.
- If it is still too large, run Smallest, then open the result and check that small text is readable.
- If it is not, split the document into two files.
All of these tools run in your browser, so documents with personal details are never uploaded. Still, share the final file only with the office that asked for it.
Please note: Size limits and accepted file types are set by each website or office. Check the instructions on the form you are submitting.
